The CalGest Assistant helps with scheduling tasks in English or Portuguese. Open it from the assistant button on the web dashboard or the Assistant tab in the mobile app.

What you can ask

The assistant can:
  • Find customers, team members who take appointments, appointment types, and locations
  • List appointments for a day, week, or date range
  • Search appointment history and custom-field values
  • Show appointment details and help identify available time, leaving out time off, closures and holidays that close online booking
  • Prepare new or updated customers and appointments
  • Prepare appointment cancellations
  • Say who is away and when, and prepare new time off, closures or their removal
  • List upcoming public holidays and say whether each closes online booking
  • Read and update customer or appointment custom-field values
  • Read organization scheduling settings and format dates in your preferences
The assistant is limited to CalGest, scheduling, and appointment-management questions.

Confirming changes

Searches and other read-only requests run immediately. Actions that create, update, clear, or cancel records are placed in a confirmation card first.
1

Describe the change

For example: “Move Maria’s appointment on Friday to 15:00.”
2

Review the summary

The assistant shows the exact action it has prepared. Missing details or ambiguous matches may require one follow-up question.
3

Confirm or decline

Nothing is written until you confirm the card in the interface. Permissions, conflicts, and work-schedule rules are checked again when you confirm.

Conversations and usage

You can create multiple conversation threads and delete threads you no longer need. Each question you send counts as one of your organization’s assistant messages for the month: 250 for each person who takes bookings. See Usage and billing. On mobile, use a suggested prompt, type a message, or dictate in English or Portuguese. The thread picker lets you resume, search, or delete conversations, and responses can be read aloud. Opening the Assistant from an appointment includes that appointment as context. A banner above the message box names it (“About: Haircut · Fri, 2 Oct 14:00”). Tap it to open the appointment, or tap × to send without it. Once you send a message, the conversation keeps the appointment. If that appointment is later deleted or hidden from you, the next message goes without it and the app says it was removed. The banner shows × for it too. The suggested prompts are about that appointment, and the appointment stays when you switch to another conversation. Appointment links in answers show the time, the title and the customer.
The assistant cannot edit recurring appointments. Use the recurring-appointment controls in the web dashboard for those changes.
