Pending in the sidebar lists everything from your booking page that is waiting for your team. A badge on it shows how many. In the mobile app, the Pending tab has the same list and the same actions. Three kinds of request land here:
  • Online bookings that need confirmation, when your booking page asks for it. See Online booking.
  • Online bookings held so you can check who made them.
  • Requests for a place in a group session, under Places in group sessions.
Each request shows the customer, the services, the date and time, and when it arrived. Staff who sign in get a notification when a new booking needs review. See Staff notifications.

Confirm or reject a booking

  • Confirm books the appointment. Its status becomes Scheduled, and the customer gets the Booking Confirmed message on the channels you turned on.
  • Reject cancels the booking, and the customer gets the Booking Rejected message. If your booking page deletes rejected bookings, the appointment is removed as well.
You need permission to update appointments. If the time has already passed when you confirm, CalGest books it without messaging the customer, and schedules no reminder or aftercare. If the time is no longer free, CalGest says so: move the booking to another time or reject it. You can also handle a pending booking from the agenda, where it has a dashed outline. Right-click it for Confirm and Reject, or open it. The form then has Confirm booking, Save without confirming and Reject booking.

Check who made a booking

CalGest matches an online booking to a customer by phone number. When that match is unclear, the booking is held under Check who made this booking, with the reason:
  • The phone number belongs to a customer with a different name.
  • The phone number belongs to a customer with a different email.
  • Several customers use this phone number.
The card shows the name, phone and email the person gave. Choose one:
  • Link to the customer CalGest found, or Another customer to search for the right one.
  • New customer to create a customer from what the person gave.
  • Reject to turn the booking down.
After linking or creating the customer, confirm the booking as usual. A held booking that nobody reviews is cancelled automatically after 48 hours. Resolving it needs permission to update both appointments and customers.

Places in group sessions

A request for a place in a group session shows the session’s time and how many places are taken, such as 3 of 8 places taken. Confirm gives the person their place and sends the booking confirmation. Reject frees the place and sends the booking-declined message. A request holds its place until you decide, so a session can’t be overbooked in the meantime.

When the list is empty

No pending bookings means every booking has been confirmed or rejected.
