# The agenda

> Views, Solo and Team modes, filters, and moving appointments on the calendar.

The **Agenda** is the first page in the sidebar and the page CalGest opens on. It shows your team's appointments for a day, a week or a month.

The heading names the period, with the week number and a short count, such as "12 appointments, 5 to go, 2 pending". Click the heading to pick a date from a small calendar. Use the arrows to go back or forward and **Today** to come back to the current period.

## Views

| View | What it shows |
| - | - |
| **Day** | One day, hour by hour. In Team mode, each person gets a column |
| **Week** | One week, hour by hour |
| **Month** | The month as a grid. Click a day to open it in **Day** |
| **List** | The week's appointments as a list, day by day |

The agenda remembers the view you picked. In the **⋯** menu (**More options**):

* **Density** sets how much room each hour gets: **Compact**, **Default** or **Spacious**.
* **Open appointments directly** opens the appointment form on a single click, instead of the preview.
* **Keyboard shortcuts** lists the shortcuts below.

| Key | Action |
| - | - |
| ← and → | Previous or next period |
| T | Today |
| D, W, M, A | **Day**, **Week**, **Month**, **List** |
| N | New appointment |
| Esc | Close the preview |

## Solo and Team

When more than one person takes appointments, the header has a **Solo** and **Team** switch.

* **Solo** shows one person's calendar. Pick the person in **Showing**. It starts on your own calendar if your login is linked to a team member. Appointments with nobody assigned show here too.
* **Team** shows everyone. In **Day**, each person has a column, and appointments with nobody assigned get an **Unassigned** column. The chips above the calendar show how many appointments each person has in the period. Click them to show only some people, or **Everyone** to show all. In **Week**, each card names its team member.

A team member whose role only lets them see their own appointments always sees their own calendar. They also see appointments with nobody assigned, but can't change them.

If a period has more appointments than the calendar can load at once, the agenda says so instead of listing only some. In **Month**, each day then shows its total, and **Open day** opens it. Switching to **Solo** helps on a busy team.

## Filters

The chips above the calendar narrow what it shows:

* **Type**: appointments that have that appointment type, alone or with others
* **Location**: appointments at that location
* **Customer**: one customer's appointments

**Clear filters** removes them all. In **Month**, the day totals are hidden while a filter is on.

## Reading the calendar

* Each card takes the colour of its first [appointment type](https://docs.calgest.com/appointments/types.md).
* A pending booking has a dashed outline. Done appointments are faded. An appointment whose end time has passed counts as done unless you marked it otherwise.
* When a card has room, a [group session](https://docs.calgest.com/appointments/group-sessions.md) shows its places, such as **3/8**, and a [series](https://docs.calgest.com/appointments/series.md) session shows which session it is, such as **2/5**.
* Time outside the shown people's working hours is hatched.
* Time off, closures and public holidays are shaded. See [Time off and closures](https://docs.calgest.com/appointments/scheduling.md#time-off-and-closures) and [Public holidays](https://docs.calgest.com/appointments/scheduling.md#public-holidays).
* If a team member connected Google Calendar, their busy time there shows as **Busy (Google)**.

## Creating from the calendar

Click an empty slot to open the appointment form at that time, or drag across a range to fill in the start and end. **New appointment**, or N, opens the form at the current time. In **Day** in Team mode, the appointment goes to the person whose column you clicked.

Two settings change this:

* **Ask for a title when dragging on the calendar**, on the [Account](https://docs.calgest.com/settings/account.md) page, shows a title box on the calendar before the form opens. It only applies to the browser you set it in.
* **Ask appointment type on create**, in **Settings > General**, asks for the appointment type before the form opens.

See [Scheduling appointments](https://docs.calgest.com/appointments/scheduling.md) for the form itself.

## Opening an appointment

Click an appointment to see its preview: time, status, services, customer, staff and location. Click the edit button in the preview, or double-click the card, to open the form.

Right-click an appointment for a menu:

* **Edit Appointment**
* **Confirm** and **Reject**, for a pending booking
* **Mark no-show** once the appointment has started, or **Undo no-show**
* **Status**, to set **Pending**, **Scheduled**, **Confirmed** or **Canceled**
* Links to the customer, the team members and the appointment types
* **Delete**

## Moving and resizing

Drag an appointment to another time or day to move it. Drag its bottom edge to change how long it lasts. You need permission to update appointments.

* If your conflict settings block double bookings or bookings outside working hours, a move that breaks them is refused and the agenda says why.
* Moving an appointment into someone's time off, or into a closure, works and shows a warning.
* Moving an occurrence of a [recurring appointment](https://docs.calgest.com/appointments/recurring.md) asks which occurrences to change.
* A customer gets the appointment-updated message when the time changes, if that message is on. See [Notifications](https://docs.calgest.com/notifications/overview.md).

In the mobile app, the **Agenda** tab shows the same appointments. Tapping an appointment opens it. To move or resize one, press and hold it, then drag. Recurring appointments can't be moved there.
